My Happy Place Quilts Quilting Service Terms

Longarm Quilting Services

Version 1.3, effective October 16, 2026. These terms govern longarm quilting projects reserved through My Happy Place Quilts. The version accepted in the estimator and presented with the $35 reservation payment governs that project. If the terms change before payment, the customer will be asked to review and accept the revised version. Later revisions apply prospectively to new reservations.

1. Scope, Eligibility & Acceptance

My Happy Place Quilts provides longarm quilting services to customers in the 50 United States. Customers placing an order must be at least 18 years old and legally able to agree to these terms. The customer represents that they own the quilt and materials submitted or are authorized by the owner to submit them for quilting and related services. The customer must accept these terms before submitting the estimator; payment of the reservation fee confirms that acceptance for the project.

Standard service is computer-guided edge-to-edge quilting. Custom/block-specific quilting, stitch-in-the-ditch, separately treated borders, exact motif placement, quilting around selected elements, special programming, or other non-standard work is not included unless My Happy Place Quilts specifically agrees in advance.

Reserving a place in the queue does not constitute final acceptance. Final acceptance occurs only after all required materials are received, intake is completed, the customer approves the final intake summary, and payment in full is received.

2. Estimates, Pricing & Minimum Charge

Estimates are based on customer-provided information and selections and are valid for 21 days from the estimate-created date and time shown on the customer Project Summary and internal intake record. After 21 days, pricing, material availability, and queue availability may change; My Happy Place Quilts may update an expired estimate on request.

The actual measurements recorded during intake control the final quilting price. If intake measurements differ from estimated measurements, the final price is recalculated using the established pricing method, up or down.

Longarm quilting is subject to a $60 minimum quilting charge per separately quilted item. For standard service, the finished quilt top must measure at least 20 inches and no more than 108 inches in both width and length (inclusive): minimum 20″ × 20″ and maximum 108″ × 108″. Both dimensions must independently be within that range. Quilts outside these limits cannot proceed through the standard online estimator; contact My Happy Place Quilts before reserving to discuss whether an exception can be approved under Section 7. Each separately quilted item is treated as a separate project and is subject to its own minimum charge and reservation.

Some My Happy Place Quilts-approved edge-to-edge designs are identified as “Premium.” Premium patterns are more intricate and require additional quilting time. When a Premium pattern is selected, an additional charge of $0.005 per square inch (one-half cent per square inch) of quilt area applies. The Premium Pattern charge is separate from the standard quilting charge and is added in addition to the $60 minimum quilting charge. It is shown separately in the estimate and final pricing. If the customer changes to a non-Premium pattern before final project approval, the Premium Pattern charge is removed. Final Premium Pattern pricing is recalculated from the quilt dimensions confirmed during intake.

Website and estimator pricing may change prospectively. A valid estimate remains governed by the prices shown on that estimate during its 21-day validity period, except that My Happy Place Quilts may correct obvious pricing, calculation, configuration, or clerical errors before final payment. Applicable taxes are shown separately where required. Promotions, discounts, and special offers may not be combined unless expressly stated otherwise.

3. Reservation Fee & Shipping Deadline

A $35.00 non-refundable reservation fee is required to reserve a place in the quilting queue. The fee helps cover scheduling, intake, administrative, and handling costs and is credited in full toward the final quilting payment if the project proceeds.

The reservation fee remains non-refundable if the customer cancels, does not timely send the project, fails to provide required materials, declines the final intake scope/price, fails to pay the final balance, or if My Happy Place Quilts declines the project during intake because of project-specific conditions, materials, construction, technical feasibility, sanitation, or similar project-related reasons.

If My Happy Place Quilts cancels a reservation before intake for reasons unrelated to the customer’s quilt or project, the $35 reservation fee will be refunded.

The customer must ship or deliver the quilt and required materials by the date stated in the reservation instructions, or within 14 days after paying the reservation fee if no specific date is stated. If that deadline is missed without arrangement, My Happy Place Quilts may cancel the reservation; the reservation fee remains non-refundable and a new reservation is required to re-enter the queue.

4. Shipping to My Happy Place Quilts & Receipt

All shipping costs are the responsibility of the customer. Customers must use a trackable inbound shipping method and provide the tracking number to My Happy Place Quilts. Insurance is optional at the customer’s choice and expense.

Customers must wait for an active reservation and use only the receiving address provided in the reservation instructions. Unscheduled packages or packages sent to an unauthorized address may be refused or returned at the customer’s expense.

A carrier delivery scan does not constitute personal receipt by My Happy Place Quilts. My Happy Place Quilts will make reasonable efforts to confirm receipt within 2 business days after a package is physically picked up from the designated receiving location. Receipt confirmation means only that the package has been received; it does not mean intake is complete or the project has been accepted.

Local arrangements may be available. Email My Happy Place Quilts for drop-off and pick-up options local to Firestone, Colorado.

5. Intake

Intake does not begin until the quilt and all required customer-supplied materials identified for the project have been physically received. Intake is generally completed within 5 business days after all required materials are present. This timeframe is an estimate, not a guarantee.

During intake, My Happy Place Quilts will photograph and document condition, inspect and measure the project, verify selections and materials, and identify any issue that could affect feasibility, quality, preparation, scope, or price. The customer’s estimated project value, if requested, is collected for recordkeeping purposes only and does not establish liability, replacement value, or insurance coverage.

If required materials are missing, the customer has 14 days after notice to provide them. If they are not provided, My Happy Place Quilts may cancel the project; the reservation fee remains non-refundable and return shipping is the customer’s responsibility.

If intake identifies an issue requiring a customer decision, the customer has 14 days after My Happy Place Quilts’s request to respond. My Happy Place Quilts may send a reminder during that period. If no response is received, the project may be cancelled, the reservation fee remains non-refundable, and return shipping is the customer’s responsibility.

6. Preparation & Customer-Supplied Materials

Quilt tops must arrive fully constructed, structurally complete, clean, pressed, substantially free of pet hair, and ready to quilt. Seams must be secure and loose threads clipped. The quilt top and backing must be submitted as separate layers. Customers should not ship batting unless My Happy Place Quilts specifically instructs them to do so for an approved exception. My Happy Place Quilts does not provide quilt-construction services.

Customer-supplied backing must be quilting-quality fabric in good condition, prepared for loading, and extend at least 4 inches beyond the quilt top on all four sides. Bed sheets are not accepted as backing. Pieced backing is acceptable if properly constructed and prepared. The customer must provide backing; My Happy Place Quilts does not provide replacement backing.

My Happy Place Quilts uses Hobbs 80/20 Heirloom batting or an equivalent product for standard projects. Standard batting is priced at $0.25 per linear inch using the longer quilt dimension plus 8 inches. A customer may request discussion of a different batting option, but the batting price remains to be determined until My Happy Place Quilts confirms the option, availability, suitability, and final price. Specialty or double-layer batting requests require advance approval and may be declined.

Customers may not supply quilting thread. The customer selects one approved top-thread option from My Happy Place Quilts’s offered vendor/part-number/color choices. My Happy Place Quilts selects bobbin thread. Variegated thread may be offered when it is part of the approved thread library. Any substitution of the selected top thread requires customer approval.

All embellishments, hard/loose objects, and potentially interfering features must be disclosed and removed unless specifically approved. Known unusual construction, bulky seam intersections, non-standard backing/materials, colorfastness concerns, heavy chemical treatments, vintage/fragile condition, or other special risks must be disclosed in advance.

The current Preparation & Shipping Guide supplied with the reservation contains practical preparation and packing instructions. Failure to meet those requirements may result in additional approved preparation work or project cancellation.

7. Special / Non-Standard Projects

The following require advance disclosure and case-by-case approval and may be declined: vintage, antique, heirloom, fragile, hand-pieced, hand-appliquéd, or competition/show quilts; unusual shapes; 3D or specialty construction; already-attached bindings, sleeves, labels, pockets, or similar features; bulky construction; non-standard backing; specialty or double-layer batting requests; requests to avoid quilting over specific elements; or projects requiring special programming or custom setup.

Outside digital quilting designs are not automatically accepted. My Happy Place Quilts will only use designs it is legally permitted to use. If an outside design is approved, the customer is responsible for any required purchase/license cost and any special programming/setup fee. A project-specific pattern/license cost becomes non-refundable once purchased.

Projects must fall within the current size/capacity limits shown in the quote/estimate process unless My Happy Place Quilts gives advance approval for an exception.

8. Repairs, Preparation & Additional Work

All repairs or corrective work require documentation of the issue and customer approval before the work is performed, regardless of how minor the issue may appear. Additional preparation, including excessive pet-hair removal, squaring or correcting backing, seam repair, or other preparation, will be quoted and approved before work proceeds.

If customer-supplied prepared binding or another supplied material is unusable, My Happy Place Quilts will document the issue and offer reasonable options. No substitution, cutting, repair, or additional chargeable work is performed without approval.

9. Final Intake Summary, Approval & Payment

After intake, My Happy Place Quilts will email a final intake summary showing confirmed dimensions, selected quilting design, thread, batting, binding and trimming options, approved preparation work, changes from the estimate, the confirmed return-shipping address and method, applicable return-shipping or replacement-packaging charges, and the final total.

The customer has 14 days from the final intake email to approve the final scope and price and pay the full balance through Shopify, including the stated return-shipping and packaging charges. If the customer does not approve and pay within 14 days, My Happy Place Quilts may cancel the project; the reservation fee remains non-refundable and return shipping is the customer’s responsibility.

The customer’s written approval and final payment constitute acceptance of the intake findings, final price, and final project specifications. Once payment in full is received, the project is considered locked in and may enter production.

All payments are electronic through Shopify. Cash, checks, bank transfers, and off-platform payment methods are not accepted.

10. Changes After Final Payment

Once final payment is received, the project scope and selections are considered final. My Happy Place Quilts may consider a requested change before quilting begins, but changes are not guaranteed and may be declined, especially if materials have been ordered, prepared, or allocated, or if the change would disrupt scheduling or require rework.

Any approved change may involve additional charges. Project-specific materials, special-order items, preparation work, license costs, or other costs already incurred remain non-refundable. Once quilting has begun, changes generally cannot be accommodated.

11. Scheduling, Turnaround & Customer-Caused Delay

Estimated turnaround begins only after intake is complete, the final project is accepted, and final payment has been received. The earlier reservation does not start the turnaround clock.

Completion dates are estimates unless My Happy Place Quilts specifically accepts a guaranteed deadline in advance and in writing. Guaranteed deadlines are generally premium-priced/rush service.

My Happy Place Quilts is not responsible for delays caused by late shipping, missing materials, delayed approvals, late payment, customer-requested holds, or failure to respond. Customer-caused delays may extend or reset the estimated completion timeline. Customer-requested holds after final payment are case by case and may cause the project to be moved to the next reasonably available slot.

Equipment failure, illness, severe weather, carrier disruption, power/internet outage, or other events outside My Happy Place Quilts’s reasonable control may extend estimated completion times without penalty. My Happy Place Quilts will notify the customer when practical. Planned or communicated closures do not count as business days for response deadlines or turnaround estimates.

12. Active Quilting Communication & Reload Fee

Before the quilt enters active quilting on the machine, My Happy Place Quilts will notify the customer and ask the customer to remain reasonably available by email and phone for time-sensitive decisions.

If quilting must stop because customer approval or instructions are required, the customer must respond within 2 business hours after My Happy Place Quilts’s request. For this purpose, business hours are Monday-Friday, 9:00 AM-5:00 PM Mountain Time, excluding holidays and communicated closures.

If no timely response is received, My Happy Place Quilts may unload the quilt so other scheduled work can proceed. A $75 reload/setup fee applies only if the delay actually causes the quilt to be unloaded and later reloaded. Once the quilt has been unloaded, the fee applies even if the customer responds shortly afterward. After response and payment of any required reload fee, the quilt will be rescheduled into the next reasonably available production slot; the original completion estimate may no longer apply.

Repeated non-response or other non-cooperation that materially disrupts production may result in termination of the project. In that event, customer property will be returned at the customer’s expense; My Happy Place Quilts may retain amounts attributable to work already performed, materials purchased or used, the non-refundable reservation fee, applicable unload/reload charges, and other project-specific costs already incurred. Any remaining refund, if applicable, is determined after those charges are applied.

13. Quilting Design & Normal Process Variations

Customers choose from My Happy Place Quilts-approved edge-to-edge designs. My Happy Place Quilts may reasonably adjust pattern scale/density for the quilt size, construction, and technical result. Exact motif placement, exact centering relative to piecing, exact stitch spacing, or exact pattern size is not guaranteed unless separately agreed in writing as a special project.

The estimator identifies Premium patterns before selection and automatically includes the applicable Premium Pattern charge in the running estimate. Premium status and pricing are part of the selected project specifications and are confirmed again in the final intake summary.

Standard edge-to-edge quilting runs uniformly across the quilt and is not separately aligned to border seams, directional border piecing, appliqué, embroidery, labels, or other design elements unless advance special arrangements are accepted. Standard edge-to-edge quilting may stitch across those elements.

Routine technical operations such as thread breaks, bobbin changes, tie-offs, restarting stitching, and reasonable easing/fullness management may be performed using professional methods without separate approval unless the issue would materially change the visible result, scope, or price.

Minor normal variations associated with computer-guided quilting - such as tiny differences at starts/stops, tie-off areas, thread tails, or adjustments around bulky seams - are not automatically workmanship defects. This provision does not excuse genuinely poor workmanship.

Quilting can cause normal draw-up, shrinkage, or dimensional change. Material- or construction-driven puckering, waviness, distortion, or fullness may remain despite reasonable quilting techniques and is not necessarily a workmanship defect.

14. Hidden Conditions & Stop-Work Rights

If a hidden or previously unknown condition becomes apparent after quilting begins and continuing could risk damage to the quilt, needle, or equipment or materially compromise quality, My Happy Place Quilts may stop work immediately and document the issue.

My Happy Place Quilts may refuse to stitch over any area that could reasonably risk damage. My Happy Place Quilts may propose working around the condition, a different approach, repair/preparation, or project termination. Any material change in scope, visible result, or cost requires customer approval before work continues.

If the project cannot safely or reasonably continue, My Happy Place Quilts may terminate the work. Charges for work already performed and materials already used remain due, and amounts paid for unperformed quilting services will be refunded after applicable project-specific charges are applied.

15. Trimming, Squaring & Binding

Trimming/squaring and binding are optional finishing services offered only for quilts that My Happy Place Quilts has quilted. Standalone trimming, squaring, or binding projects are not accepted.

If binding is selected, trimming and squaring are required. Binding is machine-finished on both front and back; hand-finishing is not offered. Standard binding is straight-grain; bias binding requires advance approval.

The customer supplies binding fabric. If the customer provides pre-prepared binding, it must be cut to My Happy Place Quilts’s required specification, joined, properly pressed, and long enough for the full perimeter plus the required allowance. If My Happy Place Quilts is to cut/prepare binding, the customer must provide one continuous piece of suitable quilting-quality cotton yardage; cutting/preparation is separately priced.

Usable customer-supplied remnants will be returned with the completed project by default. Small scraps, thread trimmings, and ordinary waste may be discarded.

16. Cancellation & Refunds

A project may be cancelled before quilting begins. The $35 reservation fee remains non-refundable except when My Happy Place Quilts cancels before intake for reasons unrelated to the customer’s project.

If final quilting payment has been made and the project is cancelled before quilting begins, amounts paid for unperformed quilting services will be refunded after deducting the non-refundable reservation fee and customer-approved project-specific materials, special-order items, preparation work, license costs, or other costs already incurred.

Once quilting begins, amounts attributable to work already performed and materials already used are not refundable merely because the customer changes their mind about selections that were completed as ordered.

If the customer disputes the final intake findings or declines the revised final price, the project is cancelled, the reservation fee remains non-refundable, and customer property is returned at the customer’s expense.

17. Workmanship Concerns

Customers should inspect the completed quilt promptly. If the customer believes there is a problem with My Happy Place Quilts’s workmanship, the customer should contact My Happy Place Quilts within 7 calendar days of receiving the quilt and before washing, altering, repairing, or otherwise modifying it. When practical, the customer should provide photographs and a description of the concern.

My Happy Place Quilts will review the concern and, if it determines there is a workmanship problem, work toward an appropriate resolution based on the circumstances. This may include correction where reasonably possible, an adjustment to the quilting charge, or a refund of some or all of the affected quilting service.

If a valid workmanship issue requires return shipment for correction, My Happy Place Quilts will cover reasonable shipping costs necessary for that corrective work. If the concern is not due to My Happy Place Quilts’s workmanship, shipping remains the customer’s responsibility.

The requested 7-day notification period does not limit any consumer right or remedy that cannot lawfully be limited.

18. Pre-Existing Conditions, Fabric Behavior & Care

My Happy Place Quilts is not responsible for pre-existing damage, weakness, deterioration, stains, fading, or defects in customer-supplied quilts/materials when those conditions are reasonably visible or documented during intake. If hidden fabric weakness or latent deterioration becomes apparent during quilting, My Happy Place Quilts may stop and follow the process described in Section 14.

My Happy Place Quilts does not test or guarantee the colorfastness, shrinkage, or laundering behavior of customer-supplied fabrics/materials. Unless washing is specifically included in the service, My Happy Place Quilts does not wash customer quilts. Customers should follow appropriate care instructions for their materials.

19. Return Shipping & Delivery

All return shipping costs are the customer’s responsibility, including requested insurance, signature confirmation, upgraded service levels, re-shipping after failed delivery, and reasonable replacement packaging when original materials cannot be safely reused. The expected return-shipping and packaging charges are included in the final amount due before quilting begins.

My Happy Place Quilts will choose a reasonable trackable return method by default. The customer may request a specific carrier, faster service, signature confirmation, or insurance at the customer’s expense. Signature confirmation is optional, though My Happy Place Quilts may recommend it for higher-value projects.

Before final payment, the customer must confirm the return-shipping address and selected shipping method in writing. Any later address or service change must be re-verified in writing before carrier handoff and may require payment of additional shipping or handling costs. Most projects are released by shipment to the verified address; third-party local pickup or another release method requires written authorization.

My Happy Place Quilts will email tracking information after the package has been transferred to the carrier and a tracking number is available. Customers should promptly contact My Happy Place Quilts if tracking shows a delivery problem. My Happy Place Quilts does not undertake ongoing shipment monitoring or perform the carrier’s delivery obligations.

If a return shipment is refused, undeliverable, returned to sender, or otherwise fails because of an incorrect address, missed pickup, refusal, or other customer-related issue, all additional shipping, handling, and re-shipping costs are the customer’s responsibility.

Customers should inspect the returned package promptly. Visible shipping damage should be reported within 48 hours of delivery, with photographs, and the original packaging should be retained while any carrier issue is reviewed.

20. Shipping Risk

The customer bears the risk of loss or damage while shipping customer property to My Happy Place Quilts until the package is physically received into My Happy Place Quilts’s possession. My Happy Place Quilts will exercise reasonable care while customer property is in its possession. After My Happy Place Quilts transfers a return package to the selected carrier, carrier liability, risk allocation, and any available reimbursement are governed by the selected service, purchased insurance, carrier terms, and applicable law.

21. Customer Property Awaiting Return

No quilting begins until payment in full, including the approved return-shipping and packaging charges, is received. If customer property is received but the customer does not complete final approval and payment, the customer remains responsible for return shipping. If a completed quilt cannot be returned because the customer has not confirmed a valid address, requests a changed service, or creates additional shipping costs, the customer must provide the required information and pay any additional amount before shipment.

If My Happy Place Quilts cannot return customer property because required shipping costs or return arrangements are not provided, My Happy Place Quilts will hold the property for up to 90 days after notifying the customer that return arrangements are required. My Happy Place Quilts will make reasonable efforts to contact the customer using the contact information on the order and will provide a final notice at least 15 days before the end of the 90-day period.

After the 90-day period, unclaimed property may be disposed of only as permitted by applicable law. My Happy Place Quilts will follow any legally required notice or disposition procedure that applies at that time.

My Happy Place Quilts does not charge a storage fee at launch. If a failed delivery causes property to return to My Happy Place Quilts and new arrangements are not made, the same unclaimed-property process applies.

22. Communications & Customer Contact Information

Customers must provide a working email address and phone number and keep both current while My Happy Place Quilts has customer property. Email is the primary written communication channel; phone/text may be used as a backup when a response is needed.

All cancellations, approvals, change requests, revised scope/price approvals, shipping-address changes, and other material project decisions must be confirmed in writing by email or through the Shopify/order communication record. Phone discussions may occur, but material decisions must be documented in writing.

My Happy Place Quilts makes reasonable efforts to respond to ordinary active-project inquiries within 2 business days.

23. Payment Disputes, Conduct & Termination

If a customer initiates a payment dispute or chargeback while My Happy Place Quilts still has the quilt or other customer property, My Happy Place Quilts may stop all work immediately until the payment issue is resolved and may avoid incurring additional material or labor costs. If unresolved, My Happy Place Quilts may terminate the project and proceed with the applicable return process, subject to applicable law.

Abusive, threatening, harassing, or discriminatory conduct toward My Happy Place Quilts personnel is prohibited. Serious misconduct may result in immediate termination of service, subject to applicable law.

Fraudulent, intentionally misleading, or materially false information - including knowingly misstating size, condition, materials, ownership/authorization, or other facts to obtain a lower price or secure acceptance - may result in cancellation or termination, retention of the non-refundable reservation fee, charges for work/materials already incurred, and customer-paid return shipping, subject to applicable law.

My Happy Place Quilts may decline future projects for legitimate business reasons based on prior conduct, including repeated non-response, serious disruption, abusive behavior, unresolved payment disputes, or failure to pay required shipping, subject to applicable law.

24. Right to Decline a Project

My Happy Place Quilts reserves the right to decline or cancel a quilting project before quilting begins for legitimate business reasons, including condition or construction of the quilt, unsuitable or unsafe materials, sanitation/contamination concerns, equipment or technical limitations, scheduling/capacity constraints, inability to agree on requested work or final price, or other circumstances that make the project impractical or inappropriate for My Happy Place Quilts’s services.

A project arriving with strong smoke odor, pet urine/feces, mold/mildew, insects, or another unsanitary/contaminating condition may be declined during intake. In a project-specific intake decline, the reservation fee remains non-refundable and return shipping is the customer’s responsibility.

Nothing in these terms permits My Happy Place Quilts to refuse service for a reason prohibited by applicable law.

25. Photography & Records

My Happy Place Quilts photographs quilts and customer-supplied items as needed for private business records, including intake condition, project issues, completed work, shipping condition, and workmanship claims. These private record photographs may be taken regardless of whether the customer grants public photo permission.

Public or promotional use is separate and optional. My Happy Place Quilts will not use project photographs publicly for marketing without the customer’s separate permission.

26. Liability & Applicable Law

My Happy Place Quilts will exercise reasonable care with customer property while it is in My Happy Place Quilts’s possession. To the extent permitted by law, My Happy Place Quilts is not responsible for pre-existing conditions, normal process variations, material behavior, or loss or damage caused by a carrier or another party outside My Happy Place Quilts’s reasonable control. Customers acknowledge that quilts may have sentimental value that cannot be objectively measured. Any monetary claim concerning customer property is limited to the documented fair market or reasonable replacement value immediately before the loss or damage, except where applicable law requires otherwise.

These terms are governed by applicable federal law and the laws of the State of Colorado. Nothing in these terms is intended to waive or limit a consumer right or remedy that cannot lawfully be waived or limited.

27. Agreement

By checking the required acceptance box in the estimator, the customer acknowledges that they have reviewed and agree to the identified version of these Quilting Service Terms. Payment of the $35 reservation fee confirms that acceptance for the project. The customer’s later written approval and final payment after intake confirm the final project specifications and authorize My Happy Place Quilts to begin quilting.
