My Happy Place Quilts Customer Quilting Policies

Version 1.3 | Effective October 24, 2026

Our Commitment to Your Quilt

Every quilt that comes to My Happy Place Quilts represents someone's time, creativity, and often a lot of memories. We treat it accordingly.

We take great care in preparing and quilting each project and strive to provide professional workmanship and a finished quilt you'll be proud to use, display, or give.

Longarm quilting is a custom process, and every quilt behaves a little differently. Piecing, seams, borders, backing, batting, fabric, quilting design, and quilting density can all affect the finished appearance. Small variations are a normal part of the quilting process and part of what makes each finished quilt unique.

If something about our workmanship doesn't seem right, please let us know. We ask that you contact us within 7 calendar days of receiving your quilt and before washing, altering, repairing, or otherwise modifying it. We'll review the concern with you and, if there is a problem with our workmanship, work with you toward a fair and appropriate solution.

How the Process Works

  1. Request an estimate using our online estimator. Estimates are valid for 21 days from the estimate-created date and time shown on your Project Summary.
  2. Reserve your place in the quilting queue with a $35 non-refundable reservation fee. The full $35 is credited toward your final quilting payment if the project proceeds.
  3. Ship or deliver your quilt top, backing, and any required finishing materials by the date shown in your reservation instructions, or within 14 days if no specific date is provided. Do not send batting unless My Happy Place Quilts specifically instructs you to do so for an approved exception.
  4. Once everything has arrived, we inspect, measure, and photograph the project during intake. Intake is generally completed within 5 business days after all required materials have been physically received.
  5. We email you a final intake summary showing confirmed measurements, any changes from the estimate, final project specifications, the confirmed return-shipping address and method, applicable return-shipping or replacement-packaging charges, and the final total.
  6. You have 14 days to approve the final intake summary and pay the balance in full through Shopify, including the stated return-shipping and packaging charges.
  7. Once you approve and pay in full, the project is locked in and released for production. The estimated turnaround time begins at that point.
  8. When quilting is complete, we return your quilt to the confirmed address using the trackable shipping method included in your final payment. A later address or service change may require written confirmation and an additional payment.

Reservation Fee

A $35.00 non-refundable reservation fee is required to reserve your place in the quilting queue. The fee helps cover scheduling, intake, administrative, and handling costs associated with your project.

If you proceed with quilting, the full $35.00 is applied toward your final quilting payment. If you cancel, decide not to proceed, do not provide required materials, decline the final intake scope/price, or your project is declined during intake because of project-specific conditions, the reservation fee remains non-refundable.

If My Happy Place Quilts cancels your reservation before intake for reasons unrelated to your quilt or project, the $35.00 reservation fee will be refunded.

Minimum Quilting Charge

Longarm quilting is subject to a $60 minimum quilting charge per separately quilted item. For standard service, both quilt-top dimensions must be at least 20 inches and no more than 108 inches (inclusive): 20″ × 20″ minimum and 108″ × 108″ maximum. Each dimension is checked independently. Quilts outside these limits cannot proceed through the standard online estimator; please contact My Happy Place Quilts before reserving to discuss whether an exception can be approved. If the standard quilting calculation is less than $60, the $60 minimum applies. The $35 reservation fee is credited toward this minimum. Premium Pattern charges, when applicable, are added separately to the applicable minimum quilting charge.

Premium Quilting Patterns

Choose from the approved edge-to-edge quilting patterns in our estimator. Some of our more intricate designs are marked “Premium” because they require additional quilting time.

Premium patterns add $0.005 per square inch (½¢ per square inch) of quilt area to the quilting price. The estimator shows this as a separate charge and adds or removes it automatically as you switch between Premium and standard patterns. The Premium Pattern charge is in addition to the standard quilting charge and the $60 minimum quilting charge. At intake, the Premium Pattern amount is recalculated using the quilt dimensions we confirm, just like the rest of the size-based quilting price.

How Your Final Price Is Determined

Your estimate is based on the information and selections you provide. When we receive your quilt and all required materials, our intake measurements control the final price. If the quilt measures differently than estimated, the price is recalculated using the same pricing method - up or down.

If we identify required preparation, unsuitable materials, or another condition that would materially affect the work or price, we will document it and discuss it with you before proceeding. No additional chargeable work is performed without your approval.

Website pricing may change prospectively. A valid estimate keeps the prices shown on that estimate during its 21-day validity period, except that obvious pricing, calculation, configuration, or clerical errors may be corrected before final payment. Applicable taxes are shown separately where required.

Batting

My Happy Place Quilts uses Hobbs 80/20 Heirloom batting or an equivalent product for standard projects. Standard batting is priced at $0.25 per linear inch using the longer quilt dimension plus 8 inches.

If you request a different batting option, the batting price remains to be determined until we contact you and confirm the option, availability, suitability, and final price. Do not ship batting unless My Happy Place Quilts specifically instructs you to do so for an approved exception.

Payment for Quilting Services

When your quilt and the items you are providing for the project—such as backing, prepared or uncut binding fabric, or other finishing materials identified in your estimate—arrive, we will inspect and measure everything and confirm the quilting services, materials, and options. If we discover something during intake that would materially affect the work or price, we will discuss it with you before proceeding.

Payment in full is required after this intake review and before quilting begins. The final payment includes the approved quilting services, materials, options, return-shipping charges, and any disclosed replacement-packaging charges. Your project is released for production after payment is received.

No additional chargeable work will be performed without your approval.

All payments are made electronically through Shopify. We do not accept cash, checks, bank transfers, or off-platform payment methods.

Project Acceptance

Reserving a place in the quilting queue does not constitute final acceptance of your project. Final acceptance occurs after we receive and inspect your quilt and materials, you approve the final intake summary, and payment in full is received.

Some quilts require advance discussion before they should be shipped to us, including vintage, antique, heirloom, fragile, hand-pieced or hand-appliquéd quilts; competition or show quilts; unusual shapes; 3D or specialty construction; bulky seams; non-standard backing; specialty or double-layer batting requests; or projects that may require custom programming. We may accept or decline these projects case by case.

Turnaround & Communication

Completion dates are estimates unless My Happy Place Quilts specifically agrees to a guaranteed deadline in advance and in writing. Guaranteed deadlines are generally premium-priced rush services.

Before your quilt goes on the machine, we will notify you and ask you to remain reasonably available by email and phone in case a time-sensitive decision is required. Our business hours for these response windows are Monday-Friday, 9:00 AM-5:00 PM Mountain Time, excluding holidays and communicated closures.

If quilting must stop for a customer decision, please respond within 2 business hours. If we cannot obtain a timely response and must unload the quilt so other scheduled work can proceed, a $75 reload/setup fee applies. Once unloaded, the fee applies even if you respond shortly afterward, and the quilt will be rescheduled into the next reasonably available production slot.

Shipping

All shipping costs are the responsibility of the customer, including inbound shipping, return shipping, requested insurance, signature confirmation, upgraded service, and any necessary replacement return packaging. Expected return-shipping and packaging charges are included in the final amount due before quilting begins.

Both inbound and return shipments must use a trackable method. Insurance is optional at the customer’s choice and expense. My Happy Place Quilts selects a reasonable trackable return method by default unless you request a specific carrier or service level.

Ship only after you have an active reservation and only to the receiving address provided in your reservation instructions. Do not ship to an address found elsewhere.

Email us for drop-off and pick-up options local to Firestone, CO.

If My Happy Place Quilts determines that a valid workmanship issue requires the quilt to be returned for correction, we will cover reasonable shipping costs necessary for that corrective work.

Refund & Cancellation Policy

The $35 reservation fee is non-refundable except when My Happy Place Quilts cancels a reservation before intake for reasons unrelated to the customer’s quilt or project.

A project may be cancelled before quilting begins. If final quilting payment has already been made, amounts paid for unperformed quilting services will be refunded, less any non-refundable reservation fee and customer-approved project-specific materials, special-order items, preparation work, or other costs already incurred.

Once final payment has been made, the project scope and selections are considered final. Requested changes are not guaranteed and may be declined. Once quilting has begun, changes generally cannot be accommodated.

If the customer cancels, declines the final intake scope/price, fails to pay, or fails to provide required materials, customer property will be returned at the customer’s expense.

Photo Permission

We photograph every quilt and customer-supplied item during intake for private condition documentation and project records. These internal photographs are taken regardless of public photo permission.

Public or promotional use is separate and optional. During the order process, you may choose whether My Happy Place Quilts may use photographs of your completed quilt on our website, social media, portfolio, or promotional materials. Choosing “No” has no effect on the care or service your quilt receives.
